Job Title: Scheduler

Pearl Home Care is seeking an experienced and highly organised Scheduler to join our dynamic home care team in Ballina. This critical, full-time role is responsible for the efficient rostering and scheduling of our support workforce across the region, ensuring continuity and quality care delivery. Working in close collaboration with our care coordinators and senior management, the Scheduler plays a vital role in maintaining service standards, addressing staffing needs, and supporting our operational effectiveness.

This is an ideal opportunity for someone who thrives in a fast-paced environment, enjoys problem-solving, and is committed to supporting both clients and care staff. During quieter periods, the Scheduler will also provide general administrative support to the office team. Duties will include:

Scheduling and Rostering
  • Prepare, manage, and maintain daily and weekly schedules for care workers using our rostering software.
  • Prepare, manage, and maintain shifts which comply with SCHADS requirements.
  • Match care staff availability, location, and qualifications with client preferences and needs.
  • Proactively manage short-notice changes, cancellations, and emergency scheduling.
  • Ensure compliance with service agreements, funding requirements, and care plans.
  • Communicate clearly and promptly with staff and clients regarding scheduling changes.
  • Monitor continuity of care and flag potential risks to the coordinators or management team.
Staff and Client Support
  • Liaise with care staff to confirm availability, shifts, and preferences.
  • Provide support to care staff in relation to shift queries or adjustments.
  • Assist with onboarding schedules for new staff, including shadow shifts.
  • Act as a first point of contact for shift-related issues and escalate where necessary.
Office Administration
  • Assist with incoming calls and general enquiries in a professional and courteous manner.
  • Provide administrative support to the coordination and management team as required.
  • Maintain accurate client and staff records in the care management system.
  • Contribute to the smooth operation of the office and foster a collaborative team environment.
  • Undertake data entry, filing, and documentation tasks as needed.

Essential Criteria
  • Previous experience in scheduling, rostering, or coordination.
  • Understanding of Home Care Packages.
  • Proficient in Microsoft Office Suite (Outlook, Excel, Word).
  • Demonstrated ability to work collaboratively within a team.
  • Strong understanding of confidentiality and professional boundaries.
  • Current National Police Check (or willingness to obtain).
  • COVID-19 and influenza vaccination (as per current health directives).
